Young People Committee Meeting Minutes

OPEN PUBLIC SESSION
Councillor Hurley was nominated as Chair of the meeting.
The meeting commenced at 7pm.
1. WELCOME AND APOLOGIES FOR ABSENCE

Councillor Hurley welcomed Simon Doling and Sean Carey.
Apologies were received from Councillor Sallie Davies and Councillor Lyn Matthews.
2. DECLARATION OF INTERESTS-
None received.
3. TO APPROVE MINUTES OF PREVIOUS MEETING
Cllr Miller requested an amendment that the youth club is from years 7-11. However
year 6 children from the primary school will be invited in the summer term. This was
agreed by Cllr Burns and seconded by Cllr Roberts. This was voted for unanimously.
4. MATTERS ARISING OR UPDATES
There were no matters arising.
5. UPDATE FROM SIMON DOLING, 4YP
Simon presented a report regarding the progress of the youth club. SD advised that
the worker who runs the Kesgrave Youth Club came along to a session is going to
help with tightening up some of the signing in/signing out rules. SD updated that
4YP visited the High School today. The visit went well and they will be exploring how
4YP could undertake some pastoral support at the school. Cllr Miller discussed how
the high school is a wider catchment than just East Bergholt, with a significant
amount of students travelling in from Ipswich.
SD presented the new poster designs, which were complimented by the committee,
it was noted that the time was not correct and needed to be changed to years 7-11,
rather than 7-10. SC discussed how a tuck shop would work well as the children
enjoy having snacks.
Cllr Burns discussed the venues available, and the importance of children having a
say in the venue. The suitability of the Congregational Church was discussed.
SD and SC suggested a visit to check suitability.
Cllr Burns suggested the need for clear messaging to year 6 from September to
ensure they are aware they can only attend from Summer term. The importance of
relationships with youth workers was discussed. It was also suggested that the
Youth Club advertise in advance what activities they will be running for the next
week.
SD updated that 4YP have a new Chief Executive, Rebecca Warnock in post.
6. YOUTH CLUB VENUE REVIEW
The venue will be discussed at future sessions with visits arranged for the young
people to obtain their opinions.
Cllr Hurley thanked SD for attending and for the positive work from the organisation
so far.
7. SCHOOL UPDATES- CLLR MATTHEWS
Cllr Miller advised that Cllr Matthews will now be liaising with a new contact at the
High School as of next term.
8. UNDER 5’s DATA- CLLR BURNS
Cllr Burns updated that 22 out of 30 children in the new school year will be from the
village. Cllr Burns advised that Suffolk run family hubs locally, with the nearest to
East Bergholt being Capel St Mary.
Cllr Burns discussed the changes to the government funding and even with funding,
parents will still have to pay for meals.
Cllr Hurley discussed the new session at The Grange on Wednesday mornings, Cllr
Miller added that this is also being run by a private company.
9. URGENT COMMUNICATIONS
SC asked who is responsible for maintaining the play ground. SC advised that he
has concerns about the state of the equipment. Cllr Roberts advised that this is
checked quarterly. There is disrepair with the swings. JM suggested SC informally
contacts Cllr Hockley.
SC discussed activities in the village and asked if the Committee are open to
suggestions. Cllr Miller advised that the role of the Parish Council is to facilitate,
rather than set up groups. SC advised that he wasn’t aware of the church group until
recently.
Cllr Miller suggested an area on the website for events that aren’t run by the Parish
Council.
The meeting was closed at 8pm.
