Summer Fair working group – report for May parish council meeting

Meetings
First working group meeting held on April 24 – parish councillors and Nicki Read + Community
Council (Stephen Miller) and Simon Rothwell. Discussed:
Health and Safety – Simon to lead
Car park marshalling/disabled parking – signage/volunteers required. Liaison with sports council.
Police notification
Gazebos – Stephen to co-ordinate
Volunteers required for set-up in morning, and clearing at end of event
Raffle – Louise working on prizes; Cllr Matthews to lead on the day
Refuse – possible extra bins
Community involvement – Louise making sure all local groups have been contacted about taking
part
Next meeting on May 13 – representatives from Constable Hall and Sports Council will be
joining the working group.
New residents: Summer Fair invitations have been delivered to two new estates and Painters
Place.
NB Spending
March parish council meeting approved DJ and kit (£350); Essex Concert band (£300) and
Constable Hall (£176).
April parish council meeting approved:
Soft play bus £395, Foam pit £495, Bouncy castle £120, Petting zoo £529, Silent disco kit + 50
headsets £155, Facepainters – £60
= £2,580 total spending approved so far
Local business sponsorship. So far – £100 from Gattinetts manager, and £100 from Roger
Balmer Design
REQUESTS:
– Parish council to start planning the EBPC summer fair stall content (Cllr Hurley to co-
ordinate; Cllr Dent available to man stall)
– Could councillors suggest any friends/family as volunteers
