Young People Committee Meeting Minutes
Monday 22
nd
July 2024, 7.30pm at The Lambe School,
Gaston Street, East Bergholt
The meeting opened at 7.30pm.
OPEN PUBLIC SESSION – No attendees for open public session.
1. WELCOME AND APOLOGIES FOR ABSENCE

2. ELECTION OF CHAIRMAN
Cllr Miller opened the meeting and proposed Cllr Davies as Chair. Cllr Davies
seconded this. Cllr Hurley proposed Cllr Matthews as Chair. Cllr Matthews advised
she would feel more comfortable with Cllr Davies as Chair. There were 3 votes in
favour of Cllr Davies and one abstention from Cllr Hurley.
3. DECLARATION OF INTERESTS
There were none received.
4. TO APPROVE MINUTES OF MEETING ON 16
TH
APRIL
Cllr Matthews volunteered to take over Cllr Rothwell’s role as liaison with Constable
Country Childcare. This was agreed by the committee. The minutes were agreed as
an accurate record of the meeting by Cllr Joan Miller and Cllr Lyn Matthews, who
were both present at the meeting.
5. MATTERS ARISING OR UPDATES
Action re point 6 to all send experience of the industry to LS who will collate and
send to Cllr Davies.
LM updated that she had discussed toddler group and church engagement with Liz
Digby. Cllr Miller suggested that Cllr Matthews speak to the Parish Clerk to see if
any money can be granted to the Church by the Parish Council. There is likely to be
a future meeting between representatives from the Church and Cllr Matthews.
6. COMMUNITY ACTION SUFFOLK SURVEY
LS updated that CAS are no longer in a position to support the survey. Cllr Miller
suggested LS to seek advice from Cllr Wombwell re how to conduct. LS to then
circulate to committee. Paper forms to be available from East End Butchers and
Post Office. LS to speak to Cllr Roberts re how to collate results. Survey to go out
in first week of September, with review in October. Timescale is crucial.
Survey to be circulated by email for sign off by the committee.
Once the survey results are received back, GW can then finalise the tender
documents.
7. LIMITATIONS OF INSPIRE PROPOSAL TO BE DISCUSSED
There was an email on 9
th
June, which was a response to the inspire proposal. All to
check this. Cllr Miller discussed the importance of following a consistent format with
all providers. Cllr Davies suggested compiling a list of relevant suppliers. Action: Cllr
Matthews to compile a list of possible alternative providers for the youth provision
including perhaps those who run Brantham Youth Club.
8. FEEDBACK FROM VISIT TO HIGH SCHOOL
Cllr Matthews advised that there was a very positive meeting at the High School.
She also advised that the School Council may be interested in attending a
Committee meeting.
Cllr Matthews queried whether young people’s views were included in the
Neighbourhood plan. Cllr Davies confirmed that this is correct.
Cllr Matthews confirmed that she will keep the communications up with the High
School.
9. URGENT COMMUNICATIONS
Cllr Davies suggested a village meeting may be useful once the survey is complete.
Mrs Sampson to be included in this to discuss possible primary school projects.
Cllr Matthews discussed the start of the Woodcraft sessions. Cllr Matthews asked if
the Parish Council could offer them a small token. Cllr Miller advised that they would
have to apply for this. Action: Cllr Hurley to ask Maya how the session went.
