Maintenance Plan,
Things to be recorded
1. List of items to be maintained and standards
2. Service interval (how often does the item need to be attended to).
3. Periodic Inspection (at what time intervals is the maintenance needs/performance to be
checked and who is to carry out that inspection).
4. Who is responsible for the actual maintenance (e.g. name of appointed contractor, date
appointed (&term) and contact details)
5. Review dates
In addition we also need a maintenance log
Maintenance Log,
The maintenance log is a diary of events.
Things to be recorded
1. Date of event
2. Items that are being inspected (or subject) and /or reason for inspection (e.g. periodic or
report from an individual of an issue).
3. Findings
4. Actions taken and by whom
5. Further actions needed
6. References to quotations and tenders sort and contact details
7. List of Responses to 6 above and decisions
8. Records (or references to) of materials, plant, progress as appropriate
9. Notes and other information that may be relevant.
NB. The log may be in a hardback A4 notebook, ruled off after each entry, or entered onto a
computer with a suitable backup in place.
